Job summary
The Event Sales & Coordinator is a highly motivated and detail-oriented professional responsible for generating new event business and managing all aspects of booked events. This role requires a combination of strong sales, relationship management, and planning skills to drive revenue for the event center while delivering an outstanding client experience. The coordinator will be the primary point of contact for clients, from the initial inquiry through the event's successful execution.
Key responsibilities
Sales and client acquisition
Actively prospect and pursue new leads for event bookings through various channels, including cold calls, networking events, local partnerships, and social media.
Respond promptly to inquiries via phone, email, and web, and conduct site inspections and walkthroughs with potential clients.
Negotiate contracts, prepare proposals, and close event sales to meet or exceed monthly and annual sales targets.
Build and maintain strong, long-lasting client relationships to encourage repeat business and positive referrals.
Develop promotions or special packages to attract new customers and increase event bookings.
Event planning and coordination
Collaborate with clients to understand their vision and requirements, helping them select vendors, menus, layouts, and other event details.
Create detailed banquet event orders (BEOs) and event summaries, and communicate all event specifics to the operational, kitchen, and other relevant teams.
Manage event timelines, budgets, and invoicing to ensure profitability and that all costs remain within the client's budget.
Coordinate with internal and external vendors, such as caterers, audiovisual technicians, entertainers, and decorators, to ensure all services are aligned with the event plan.
Oversee all event logistics, from setup to teardown, and be present during events to ensure smooth execution and address any issues that may arise.
Marketing and administration
Maintain accurate and organized records of all sales activity, client contracts, and event information in the event center's management software.
Work with the marketing team to develop promotional materials and strategies for the event center.
Conduct post-event follow-ups to gather feedback, thank clients, and ensure satisfaction.
Assist in maintaining sales collateral and marketing materials.
Qualifications
Experience: Proven experience in event sales, coordination, or hospitality. Experience in a high-volume setting is often preferred.
Education: A bachelor's degree in marketing, communications, hospitality, or a related field is often preferred, but not always required.
Skills:
Exceptional communication, negotiation, and interpersonal skills.
Strong organizational skills and attention to detail to manage multiple projects and deadlines simultaneously.
Proficiency with event management software (e.g., TripleSeat, Delphi FDC) and standard office software like Microsoft Office.
Ability to work independently and under pressure in a fast-paced, dynamic environment.
A positive attitude and a passion for creating memorable guest experiences.
Schedule: Flexibility to work evenings, weekends, and holidays as required by the event schedule.
